Effective Date: April 1, 2024 | Last Updated: April 2025

At The Heart Centered Being (“we,” “our,” or “us”), we are committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal information when you visit our website, engage with our services, or communicate with us.

This Policy should be read alongside our Terms of Service and Personal Accountability & Ethics Statement, both available on our website. Together, these documents form the complete framework governing your relationship with The Heart Centered Being.

1. Information We Collect

We may collect the following types of information:

Information You Provide Directly

  • Personal details such as your name, email address, and phone number, when submitted through contact forms, booking inquiries, event registrations, or newsletter sign-ups
  • Written communications, including emails, feedback form submissions, and messages sent through our website
  • Feedback submitted through post-event surveys, anonymous feedback forms, or our newsletter feedback link

Information Collected Automatically

  • Browser type, IP address, and device identifiers collected through cookies and analytics tools
  • Pages visited, time spent on site, and referral sources, used to improve website performance

Information from SMS Opt-In

  • Your mobile phone number and opt-in consent when you subscribe to our SMS messaging program
  • Message interaction data (delivery status, opt-out requests)

2. How We Use Your Information

We use the information we collect to:

  • Provide, manage, and improve our services
  • Communicate with you regarding appointments, events, updates, and inquiries
  • Send SMS notifications and updates you have opted into
  • Send email newsletters and communications you have subscribed to
  • Process event registrations and ticket purchases
  • Maintain internal records and fulfill legal obligations
  • Review anonymous feedback through our Accountability Pod to improve our practice and uphold ethical standards

We do not sell your personal information. We do not use your data for purposes beyond those listed above without your explicit consent.

3. Feedback Form Data & Accountability Pod

Anonymous feedback submitted through our website or newsletter is reviewed exclusively by our Personal Accountability Pod — a small, trusted team (currently April A Ross, Katerina Phoenix, and Adam Paulman) who provide independent oversight of our ethical practice.

This feedback is not shared publicly and is not attributed to any individual. It is used solely to support accountability and continuous improvement in our practice. Pod members are bound by confidentiality obligations.

4. Use of Artificial Intelligence Tools

We use AI tools (including large language model assistants) in the development of program materials, policy documents, client-facing resources, and written communications. These tools assist in drafting and refining content — all final decisions, values, and professional judgments remain entirely those of J.J. Brawley.

We do not input identifiable client information, session content, or personal data into AI tools. AI is not used to conduct sessions, analyze individual client situations, or substitute for direct human engagement.

If you have questions about how AI tools are used in relation to your engagement with us, you are welcome to ask directly at connect@theheartcenteredbeing.com.

5. Text Messaging & SMS Data

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors supporting our services (such as customer service) is permitted.

Text messaging originator opt-in data and consent will not be shared with any third parties, except aggregators and providers of the text message services required to deliver those messages.

All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Data Sharing & Third Parties

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

  • With service providers who assist in operating our website, processing payments, or delivering communications (such as email platforms, ticketing systems, or SMS providers). These providers are bound by confidentiality and may only use your data to perform services on our behalf.
  • With our Accountability Pod members, in the context of anonymous feedback review or accountability processes
  • With legal authorities, when required by law, court order, or to protect the safety of any individual
  • With The Sacred Kings Integrity Council, in the context of formal complaint or review processes

7. Data Retention

We retain your personal information for as long as necessary to provide our services, maintain our records, and comply with legal obligations. In general:

  • Contact and booking information is retained for a minimum of 3 years following your last engagement with us
  • Email and newsletter subscription data is retained until you unsubscribe
  • SMS opt-in data is retained until you opt out, after which only records of the opt-out are kept for compliance purposes
  • Anonymous feedback is retained indefinitely in aggregate, non-identifiable form

You may request deletion of your personal data at any time by contacting us at connect@theheartcenteredbeing.com. We will honor deletion requests to the extent permitted by law.

8. Cookies & Analytics

We use cookies and similar technologies to analyze site traffic, improve user experience, and monitor website performance. Analytics data is collected in aggregate and is not linked to personally identifiable information.

You can manage cookie preferences through your browser settings. Disabling cookies may affect certain website functionality.
